How to write a press release

A press release, as we all know is a form of communication between a company or an organization or an individual to the masses through media. It is a report that gives the who, what, where, when, why and how about a event. It can be a launch of a product by some company or it can be the details about the start of a new festival or seminar. It can also be the report of a company about its current stats in the market. Press release is a method of reaching to the masses and grabbing their attention. Its an attempt to make the masses take note of some event or offer or news.

A press release may, but however cannot always grab the required attention. But then, there are some rules of the game; some techniques that one should keep in mind before writing a press release so that he gets what he wants out of the readers. An effective press release is likely to promote the event to the heights of success. It should be designed to divert people’s attention from the other items in the newspaper and bring it to the press release. For company launching a new product, the popularity of the product largely depends on the quality of press release. Media creates an image of the product in the society based on the press release it got from the company making press releases, extremely crucial.

The first step towards writing a good press release is to choose the target audience. One should be clear about the type of readers it wants to attract. This depends upon the type of event or the product that is being promoted in the press release. A product meant for the young generation should be complemented by a lively written press release most likely to appeal to the young readers. A company’s growth report should be presented in such a manner that they attract the attention of corporate investors to the company. This way there is a greater chance of attention. The second most important point is choice of the media. The magazine or the newspaper where the press release is intended to be given should be popular amongst the target audience.

If we consider the body of the media release then there are a number of points that we should strictly follow while writing the media release. The first and most important point is the headline. It should be short, crisp and striking. A good headline should be able to make its reader extremely curious about the content. So curious that they actually start reading the release. A secondary headline may be given to support with some explanation but the catch of the story should never be revealed in the headline. A bulleted list of the important key points makes the press release interesting for the reader.

The first line of the press release should be like a dart that drills in the reader the event or the product being promoted in the release, instantly. The first paragraph should provide all the important information to the reader in brief. Following an inverted pyramid style is recommended.  Quotes are the key sellers of a press release. Quote as much as possible giving the full details of the spokesperson. This instils faith of the reader in the story. The length of the press release is another important factor. Use simple language explaining the jargons, give your contact details at the end and see the magic of the release begin.
